Responsibilities

Secretarial Duties

  • To report to the President and to act as his personal assistant and to keep confidential all matters pertaining to that of Corporate and Directorial, as well as pertaining to the office of the President.
  • Protect the interest of the President and to uphold the image and integrity of his office.
  • Preparation of correspondences, minutes, reports and other typing works, telefax transmission, etc as required
  • To perform all general secretarial duties for the President e.g, secure appointments, travel arrangement, filtering phone calls, expenses claims and other financial matters etc.
  • To co-ordinate with the Directors of other related offices of the company and to co-ordinate receipts of material and documents from them, where relevant
  • To maintain and keep a proper filing system including electronic mail for easy retrieval of all corporate, market, and President’s private correspondences and matters.
  • To arrange staff interviews and appraisals and preparation of appointment and confirmation letters, in conjunction with project team leaders etc. as well as upkeep of HR files

 Business Marketing Duties

  • To manage and to monitor correspondence arising from company website, and to generate business development emails for queries on services.
  • Source potential market leads through publication/periodicals sent to the office.  To coordinate and work closely with the President to source for contact information through potential market leads.
  • To work on the fee proposal formats for RFPs (Request Fee proposal) in close collaboration with the President and/or his designate and to submit these proposals by the required deadlines; to follow up, to arrange for presentations by the President as needed, to help the president review the draft agreements’ terms and conditions for successful bids, against the submitted bids as well as company practice and to provide feedback on those arrangement for the further review of the President.
  • To maintain and manage database of all present and potential business contacts and project lists in coordination with the President.      
  • To assist the President in the execution of other adhoc duties required from time to time.

 

Requirements:

  • Possess professional qualification/diploma/degree in PSC, B. Admin, Legal or relevant background
  • More than 5 years of experience in assistant role for senior management
  • Strong command of both written and spoken English and communication skill
  • Good comprehension on business contracts and agreements terms
  • High confidentiality and integrity traits
  • Matured and pleasant personality, tactful, a positive & can-do attitude
  • Meticulous and good follow-up skill
  • Proficient in Microsoft Office application
  • Able to multitask, organized, resourceful and proactive with sense of urgency
  • Presentable, pleasant disposition with good people skill
  • Able to start work in short notice would be an advantage
